Quick-start templates and suggestions
Most new workflows start from a template rather than a blank canvas. This page covers the Create New Workflow modal, the Suggested Workflows section, and the two rules that shape every workflow: the naming rules and one workflow per trigger.
The Create New Workflow modal
Section titled “The Create New Workflow modal”On the workflow list, select New Workflow (top right). Instead of opening the builder directly, Teamio shows a Create New Workflow modal:
- Quick Start from Template — a grid of ready-made trigger + action pairs. Selecting one pre-builds the trigger and a starter action, then opens the builder in a new tab with the message Template loaded! Configure the … action and save your workflow. You only have to fill in the details (template, timing, assignee) and save.
- Create from Template — confirms your template choice and opens the builder.
- Start from Scratch — opens an empty builder so you can drag your own trigger and actions.
Some template tiles are disabled. A Coming Soon badge means the trigger or action isn’t available yet. A Workflow exists - edit to add actions badge means that trigger is already in use by another workflow — open and edit that existing workflow instead of creating a new one (see the rule below).
Suggested Workflows
Section titled “Suggested Workflows”Below the workflow cards on the list page, a collapsible Suggested Workflows section shows templates your site hasn’t used yet. Select the header to expand or collapse it.
- Buildable now — Broken Appointment Alert and Missed Call Follow-up have a + Create action that drops you into the builder with the trigger and starter action in place.
- Coming Soon — Follow-up Form, Follow-up Task, and Patient Intake show a Coming Soon badge and aren’t selectable yet; they’ll turn on as their triggers ship.
There’s no longer a one-click Appointment Reminder template — but you can still build an appointment-reminder workflow yourself from scratch, using the Appointment Scheduled trigger.
Naming rules
Section titled “Naming rules”A workflow name is validated when you save. It must:
- contain only letters, numbers, dashes, and underscores — no spaces, brackets, or other special characters;
- be 44 characters or fewer;
- be unique across your site.
If the name has a space or symbol, the save fails with Workflow name cannot have whitespace, brackets, or special characters except dashes. Use new-patient-welcome or broken_appt_rescue, not New patient welcome.
One workflow per trigger
Section titled “One workflow per trigger”Each trigger can only be used by one workflow on your site. If you try to save or drag a trigger that’s already in use, Teamio blocks it with A workflow with this trigger already exists (“<name>”). Each trigger can only be used by one workflow.
To run several things off the same event — say, text the patient and create a task when an appointment breaks — put multiple actions in the single workflow for that trigger, rather than building a second workflow. This is why the recipes in this section combine actions inside one workflow instead of stacking workflows on the same trigger.
