Recipe: assign a task to the treating provider

Some follow-ups belong to the provider who did the work, not a fixed person — a post-op check, a lab note, a “call this patient tomorrow.” This recipe routes the task to whoever completed the appointment, automatically.

Prerequisites and permissions

Requires Workflow update permission. The smart assignee options appear only on the Appointment Completed trigger. Since that trigger belongs to one workflow, if you already use it (for example, review requests) add this as another task rule or action in that existing workflow. See Who can use Workflows.

The workflow

• Trigger: Appointment Completed
• Action: Assign Teamio Task
• Assign To: choose a smart option at the top of the dropdown — Provider who completed the procedure or Whoever marked Apt Complete — instead of naming a fixed employee. (These two options appear only for the Appointment Completed trigger.) You can combine a smart option with named employees in the same rule.

Because the assignee is resolved at run time, the same workflow sends each provider their own tasks, with no per-provider duplicates to maintain.

Examples

• Surgical extraction completed → task to the treating provider: “Call patient this evening to check on pain.”
• Crown prep completed → task to the provider: “Review final lab design when it arrives.”
