Kanban board privacy

Each board has its own visibility setting. You choose it when you create the board, and you can change it later.

When you create a board (or manage members later), you pick one of:

  • Visible to everyone at the site — any teammate with Kanban access can open it. Right for shared operational boards.
  • Restrict to specific employees — only the people you pick can see the board exists. Right for management topics: hiring, performance, sensitive projects.

You set visibility in the Create New Board modal at creation time. To change it afterward:

  1. Open the board.
  2. Select the members button next to the New Board button — it’s a people icon, or a lock icon when the board is already private.
  3. In the Manage Board Members modal, choose Restrict to specific employees.
  4. Add people with the Add employees… picker. The helper text reads Only these employees will see this board. You’re automatically included.
  5. Select Save.

To make a restricted board public again, remove all members (empty the list) — that flips it back to visible-to-everyone.

  • Private boards show a lock icon in the Recent Boards list, and the members button switches from a people icon to a lock icon.
  • The @-mention picker in cards on a private board is limited to board members, so you can’t notify someone who can’t see the board.
  • Privacy is enforced on the server — a non-member can’t load the board at all. It isn’t merely hidden in the UI.
  • Restriction is per board, not per column or card. If some cards shouldn’t be visible to everyone, put them on a separate restricted board.
  • Update the member list when people join or leave a project.
