Action: assign a Teamio task
The Assign Teamio Task action creates a task the moment the trigger fires — so human follow-up never depends on someone noticing. Examples: appointment broken → task to call; sedation scheduled → task to call in the Rx; missed call → task to call the patient back. Select the node to open its settings sidebar; the footer has Delete Node, Cancel, and Save Changes, and the canvas node previews how many rules it holds (for example 2 task rule(s)).
Task Rules
Section titled “Task Rules”Like the messaging actions, tasks are defined as a table of rules — one row per situation. The table layout is the default; a toggle in the top-right switches between layouts (button tooltips Card Layout and Table Layout). In the table layout the add button reads Add Rule; in the card layout it reads Add Task Rule and rules are titled Rule 1, Rule 2, and so on.
Each rule has these fields (table-layout column / card-layout label):
| Field | What it does |
|---|---|
| If Proc Code Matches… / Proc Codes | (appointment- and Quick-Add triggers) the Open Dental procedure code(s) this rule applies to — a searchable multi-select. Hidden for the Mango Voice (Missed Call) trigger, which has no procedure context. |
| Assign To | Who gets the task — pick one or more active employees (only active employees are listed; they show as chips). For the Appointment Completed trigger, two smart options appear at the top of the list: Whoever marked Apt Complete and Provider who completed the procedure, so the task routes itself. Smart options can be combined with named employees in the same rule. |
| Task Description / Description | The task text you write. Patient and appointment info are added automatically, so you don’t retype names, dates, or the procedure. On the Mango Voice trigger, the hint changes to Available placeholders: {{callerNumber}} {{callerId}} {{callTime}} {{dialedNumberName}} — drop these in and Teamio fills them from the call. |
| Due Date | When the task is due — a trigger-aware dropdown (see below). |
| Attach Wiki? / Attach Wiki | Optionally attach one or more Wiki pages — a script or how-to — so whoever works the task has the talking points right there. The list excludes pages tagged as SMS/email templates. |
| Tags | Categorize the task. The field is type-to-create (Select or add tags… with an Add tag affordance), and suggests tags already used on your site’s tasks. Use them for filtering on the task list. |
Select Add Rule (table) or Add Task Rule (card) for as many rows as you need, so one action covers many procedures. When the trigger fires, Teamio matches the event’s procedure codes against the rules and creates the matching task(s) — assigned, described, dated, and tagged exactly as defined.
Due Date is trigger-aware
Section titled “Due Date is trigger-aware”The Due Date options change with the trigger and are always in whole-day steps:
| Trigger | Due Date options |
|---|---|
| Appointment Scheduled | Immediately · On the Day of Appointment · 1 Day Before · 2 Days Before · 1 Week Before the Appointment Date |
| Appointment Completed | Immediately · 1 Day After · 2 Days After · 1 Week After |
| Appointment Broken | Immediately · 1 Day After · 2 Days After · 1 Week After |
| Procedure added via Procs Quick Add | Immediately · 1 Day After · 2 Days After · 1 Week After Procedure is Added |
| Mango Voice Event (Missed Call) | Immediately · 1 Day · 2 Days · 1 Week from Now |
