How the Huddle numbers are calculated
Every dollar figure on Today’s Huddle is built from your live Open Dental data, and every one of them follows the date picker at the top of the page — pick another day and the whole page reads as of that day.

The one formula behind all of it

- Gross production is your office’s own fee (your UCR) for every procedure marked Complete.
- Insurance write-offs are the difference between your fee and what the patient’s plan allows.
- Adjustments are credits, discounts, and courtesies. They’re added because Open Dental stores them as negative numbers.
Today’s Completed Production (Net)
Section titled “Today’s Completed Production (Net)”The production you have actually completed so far — procedures marked Complete in Open Dental, after insurance write-offs and adjustments.
Gross production − insurance write-offs + adjustments
This starts at $0 every morning and climbs as patients are seen and checked out. Looking at it before your first patient is supposed to show zero. Looking at it mid-afternoon shows the production from everyone seen so far.
Completed production divided by the provider’s clinical hours for the day.
Completed Production (Net) ÷ clinical hours
Clinical hours run from the provider’s first appointment to the end of their last one, minus the lunch you set under the Set Goals gear. That’s chair time, not hours worked — a gap in the middle of the schedule still counts against $/HR, which is the point. It shows N/A when there are no appointments to measure.
On Schedule (Net)
Section titled “On Schedule (Net)”The full day’s value: what has already been completed, plus the estimated value of the appointments still to come.
Completed Production (Net) + value of the appointments still scheduled
The two halves are measured differently, and it’s worth knowing which is which:
- The completed half is net of real write-offs and adjustments.
- The still scheduled half is estimated from the patient’s insurance fee schedule minus any discounts. There’s no claim yet, so no write-off or adjustment has happened.
Read this first thing in the morning to see what the day is worth before anyone sits down. By the end of a day where everything was completed and checked out, it converges on Completed Production.
Sched $/HR

On Schedule (Net) ÷ clinical hours
Read in the morning, this is what the day is set up to produce per chair hour. Compare it to $/HR as the day goes on to see whether you’re tracking to it.
Month-to-date
Section titled “Month-to-date”Everything a provider has completed from the 1st of the month through the date you’re viewing.
Completed Production (Net), added up from the 1st through the selected date
It follows the date picker. Pick a day last week and it reads month-to-date as of that day, not as of today.
This month (on schedule)
Section titled “This month (on schedule)”What the rest of the month is set up to be: everything completed so far, plus everything still booked between the date you’re viewing and the end of the month.
Net production so far + value of the appointments still scheduled through month end
This one looks forward while the Month-to-date figure beside it looks back. They cover different stretches of the same month on purpose — one is what you’ve done, the other is what the month is set up to be.
There are two % of goal bars on this page and they measure against different things. This trips people up, so it’s worth being explicit.
% of goal — in the provider table
Section titled “% of goal — in the provider table”Measured against everything currently booked on that provider’s schedule for the calendar month — not against a target anyone set.
The amount ÷ the value of every appointment on this provider’s schedule for the month
It moves every time an appointment is added or cancelled. Think of it as “how much of what’s on my books have I completed.”

Section titled “% of goal — on the right side of the page”Under Total On Schedule (Net) Today, this one is the real target: your monthly production goal from the Set Goals gear.
Scheduled month-to-date ÷ your monthly goal from Set Goals
Teamio takes each provider’s per-weekday goal and adds it up across every day of the month. Every provider who has a goal counts toward it, whether or not they’re on today’s schedule.
That’s why the two bars show different dollar figures on the same screen.
Collection
Section titled “Collection”Money actually received — patient payments plus insurance checks.
Patient payments + insurance payments received
Counted by the date the payment or check was posted, which is usually not the day the treatment was done. Collection and production won’t match on any given day, and they aren’t meant to — an insurance check arriving today may be paying for treatment done six weeks ago.
Why today’s number looks different tomorrow
Section titled “Why today’s number looks different tomorrow”All of these read your live Open Dental data, so a figure you looked at this morning can legitimately change by tonight. The usual reasons:
- Claims were generated later in the day — the most common one. Write-offs appear and net production drops to its true value.
- An appointment was completed, broken, or added — On Schedule and the goal bars move with the schedule.
- An adjustment was posted — a courtesy or discount entered after checkout.
- A payment or insurance check was posted — Collection moves independently of production.
If a number still looks wrong after the day’s claims are generated, compare it against Open Dental’s own production report for the same date. They’re built from the same data and should agree.
