Action: send a text message
The Send Text Message action texts the patient tied to the triggering event, from your practice’s number. Select the node on the canvas to open its settings sidebar. The panel header reads Send Text Message — Send a text message to a contact, and its footer has Delete Node, Cancel, and Save Changes. There are two parts: a SMS Rules table (always), and a For New Patients Only section (only on the Appointment Scheduled trigger).
On the canvas, the node previews its configuration — for example 2 SMS rule(s), New patient SMS template, or Click to configure… if it’s empty.
SMS Rules — the core
Section titled “SMS Rules — the core”Under the help text Define which template to use based on procedure codes, the rules table answers “which message, for which procedure, and when?” Each row has three columns:

Select Add Rule (the plus icon) for as many rows as you need — one workflow can hold many rules — and the X at the end of a row to remove one. When the workflow fires, Teamio matches the event’s procedure codes against the rules and sends the matching template, so crown patients get crown instructions and extraction patients get extraction instructions from the same workflow.
Timing (Send When)
Section titled “Timing (Send When)”Send When is trigger-aware — the options change with the trigger, and timing is always in whole-day steps (never hours). For each trigger the choices are:

No trigger offers both before and after — Appointment Scheduled is the only one with before-style timing, because it’s looking ahead to a future visit. Pick the timing that matches the message’s job: confirmations and welcomes go out immediately; reminders go out before the visit; follow-ups go out after.
For New Patients Only
Section titled “For New Patients Only”On the Appointment Scheduled trigger only, a section above the rules can target first-time patients. Its help text reads The SMS will only be sent to the patient when they schedule an appointment as a New Patient. It’s a radio choice, not an on/off toggle:
- For All New Patients (regardless of procedure) — shows a single Template picker plus Provider(s) (leave empty for Any Provider). Every new patient on a matching provider gets that template.
- Procedure Specific — replaces those fields with its own rules table (Proc Code | Provider | Template, with Add Rule), so new patients get different messages depending on the procedure they booked.
The new-patient Template picker lists only SMS-tagged Wiki pages (the main SMS Rules table above accepts pages tagged as SMS or email templates). This section powers the new-patient welcome recipe.
Select Save Changes to write the rules back onto the node, then Save Workflow.
