Automated recall reminders
Automated recall reminders text and email patients who are overdue for a recall (cleaning, perio, etc.) to nudge them back onto the schedule — without anyone working the list by hand. It’s a distinct automation from appointment confirmations: confirmations protect appointments that already exist; recall reminders chase patients who have no upcoming appointment.
Where it lives
Section titled “Where it lives”Open Appointment Reminders, select the gear (Settings) in the header, and scroll the Appointment Reminder Settings slideout to the Automated Recall Reminders heading. It sits below the appointment confirmation sections but works independently.
What you can set

Per-recall-type templates, or one for all
Section titled “Per-recall-type templates, or one for all”You choose how specific the messaging is:
- Per Recall Type — add rule rows that set a separate SMS and Email template for each recall type (a perio recall can read differently from a prophy recall). Use the add/remove rule rows to manage them.
- One template for all recall patients — a single SMS/email used for everyone, if you’d rather keep it simple.
Frequency of reminders
Section titled “Frequency of reminders”Under Set Frequency of Reminders, each row (Reminder #1, #2, …) sets whether that touch goes out via Text, Email, or both — letting you build a cadence (text first, email a week later, and so on) up to your max-reminders cap.
Select Save to apply. Because the templates are Wiki pages, you edit the actual wording in Wiki and pick the page here.
How it fits with the recall list
Section titled “How it fits with the recall list”This automation handles the routine, hands-off nudging. The patients it can’t reactivate are exactly the ones worth a personal touch on the Overdue Recall list — or an AI outbound call. Run the automation broadly; work the stragglers by hand.

Section titled “Recall reminders aren’t going out”Confirm Send Auto Recall Reminders is on, at least one Recall Reminder Provider is selected, and the when to send threshold isn’t set so far out that no one qualifies yet.
A patient got too many reminders
Section titled “A patient got too many reminders”Lower Max number of reminders, or trim the frequency rows so fewer touches are scheduled.
