Using the editor
The Wiki editor is block-based: each paragraph, heading, list, image, or table is its own “block.” There are two distinct ways to add things, and it helps to keep them straight:
- The plus (+) button beside a block (the editor’s own toolbox) adds a new content block — Paragraph, Header, List, Checklist, Table, Image, Embed, or Delimiter.
- The + Insert button at the top-right of the Page Content header inserts variables and emojis at your cursor — it does not add blocks.
Press Enter to start a new block, or select text to bring up the inline toolbar (formatting and links).
Content blocks
Section titled “Content blocks”Use the editor’s plus (+) button to add any of these:
- Paragraph — normal text; the default block. Pasting from Word, Google Docs, or a PDF keeps bold/italic/underline and turns bullet lists into proper lists.
- Header — section headings. Break a long page into scannable sections. The first header block on a page becomes the title on the public view.
- List — bulleted or numbered lists, for sequences and option lists.
- Checklist — a to-do list with checkboxes a reader can tick off; ideal for opening/closing routines.
- Table — a simple grid for settings, comparisons, or reference values.
- Image — photos and diagrams (details below).
- Embed — paste a media link and it renders inline: YouTube, Vimeo, Coub, CodePen, Instagram, Twitter/X, Gfycat, Imgur, Pinterest, and GitHub.
- Delimiter — a visual divider (• • •) between sections of one page.
Images
Section titled “Images”Add an Image block from the plus (+) toolbox. The empty block shows Drop an image here or click to upload with two buttons, Upload File and Add URL:
- Upload File (or drag-and-drop / paste) — pick a file from your computer, or drag an image straight onto the block, or paste one you’ve copied. Teamio uploads it to its own secure storage (AWS S3) and drops it into the page. While it uploads, an Uploading Image overlay covers the screen. (On the Edit page, images are compressed before upload.)
- Add URL — select Add URL, paste a link into Paste image URL here…, and select Add (or Cancel). Teamio downloads that image and re-hosts its own copy, so the picture won’t vanish later if the original link expires or changes. If it can’t re-host it, it falls back to showing the original URL.
There is no caption field — the image block doesn’t offer one. (A caption only appears automatically when you paste in an <img> that already carries alt text; it is display-only.) Keep files reasonably sized — pasting a huge image slows the page; resize first.
Inline formatting
Section titled “Inline formatting”Select text to pop up the inline toolbar: bold, italic, the chain-link (external link, below), the marker (highlight — Cmd/Ctrl+Shift+M), inline code (Cmd/Ctrl+Shift+C), and the W button (wiki/form link, below). The W wiki-link button is also available in the inline toolbar of Header blocks.
Linking to a page, a form, or a packet
Section titled “Linking to a page, a form, or a packet”This is the inline link that makes the Wiki more than a notebook. Select some text, then click the W button in the inline toolbar to open the link picker:
- Type in the Search by typing a name here… box to find a page or form.
- Narrow the results with the text links Show Wikis Only and Show Forms Only. (The Show Forms Only link appears only when your site has forms.)
- Each result shows its name. Packets carry a PACKET badge so you can tell them apart; individual pages and forms show no badge.
Why the form/packet link is special: when a page is used as an SMS or email template, a linked form or packet becomes the patient’s tap-to-open form link in the message that’s sent. So you write “complete your forms here →” once, link the form, and every patient who gets that template receives a working link to it. (This is the same mechanism behind texting a form from Conversations.)
Linking to an outside website
Section titled “Linking to an outside website”For any external URL, use the chain-link icon in the inline toolbar (shortcut Cmd/Ctrl+K). It opens an Enter or paste a link input — type or paste the address and select OK, or Cancel / press Escape to close without applying. This is separate from the W wiki-link picker above.
Variables
Section titled “Variables”Variables are placeholders that fill with real data when a template is sent. Insert them from + Insert (top-right of Page Content). The variable lands at your cursor position if you’ve clicked into the editor; if no cursor is remembered, it’s appended as a new paragraph. The full set:

So “Hi {{patient_first_name}}, you’re due for a cleaning — reply to book!” personalizes for each recipient. The {{confirm_button}} and {{payment_link}} variables insert tappable actions.
Emojis
Section titled “Emojis”+ Insert also opens a categorized emoji picker (Frequently Used, Smileys, Gestures, Celebrations, Hearts & Symbols). Note that emojis in an SMS push the message into Unicode encoding, which lowers the per-segment character limit — watch the counter.
- Link liberally — to other pages so the knowledge base cross-references itself, and to forms/packets so a template can actually send the form.
- Don’t paste giant images — resize first; large files slow the page.
