How Teamio syncs with Open Dental
Teamio doesn’t replace Open Dental — it reads from it continuously and writes a few things back. Here’s the mental model.
From Open Dental to Teamio (automatic, continuous)
Section titled “From Open Dental to Teamio (automatic, continuous)”A small Teamio connector app runs on your office’s Open Dental server. It watches the database for changes and sends them to Teamio as they happen — no nightly import, no manual refresh.
That means when the front desk books, breaks, or completes an appointment in Open Dental, Teamio reflects it within moments: patient lists update, automations fire, and dashboards stay current. Patients, appointments, balances, claims, recall dates, and treatment plans all flow this way.
This live feed is also what powers Workflows — for example, “when an appointment is broken, text the patient” runs off the same change detection.
From Teamio back to Open Dental
Section titled “From Teamio back to Open Dental”Teamio writes back in a few specific places:
- Online bookings — appointments patients book through Teamio land on the Open Dental schedule.
- Signed forms and treatment plans — completed PDFs are filed into the patient’s Open Dental imaging.
- Payments — payments collected through Teamio’s payment partner can be posted automatically to the patient’s Open Dental ledger. This automatic write-back is available for certain payment setups and is enabled per office; payments taken through other processors are recorded in Teamio but not written back automatically.
- SMS photo attachments — pictures patients text in can be saved to Open Dental imaging.
Everything else in Open Dental stays exactly as your team manages it today.
Admins can confirm payment write-back. Open the Settings menu (the gear ⚙️ icon, top right) → View My Account, where the Open Dental / Moolah Payment Sync table shows an Open Dental Sync status for each payment. Anything marked Not in OD hasn’t posted to the ledger yet and may need attention.
Tips & common questions
Section titled “Tips & common questions”- “Teamio’s data looks stale.” Check that the office’s Open Dental server (where the Teamio connector runs) is powered on and online — data pauses if that machine is off, and catches up when it’s back.
- “Do I need to enter patients into Teamio?” No. If they’re in Open Dental, they’re in Teamio.
- Multi-clinic practices: Teamio understands Open Dental clinics — each location sees its own patients and schedule.
