The checkout route slip

The Checkout Notes panel is the digital “route slip” that closes out a visit and captures what happens next, so nothing falls through the cracks between the operatory and the front desk. It opens when you drag a card into the Check-out column or select the Check-out (sign-out) icon on a card.

Checkout Notes is a slideout panel on the right side of the board, with a dark header reading Checkout Notes for <patient> and a Close (×) button. The Save & Checkout and Cancel Checkout buttons sit at the top-right of the panel.

Selecting the Check-out icon on a card already in the Check-out column re-opens that patient’s route slip with the previously saved notes and quick-notes loaded.

The panel reads top to bottom:

  • Appointment Procedure(s) and Pending Account Balance — what the patient had done and what’s owed, pulled straight from Open Dental. The balance shows the guarantor and renders as a red alert box only when the amount is over $1, so you can collect before the patient leaves.
  • Quick Notes — one-tap checkboxes grouped into your own categories (for example Post-op, Scheduling, Financial). Ticking a checkbox appends its configured auto-note text to the Notes box on a new line; unticking it removes that text again. If no quick notes are configured, this section reads “You do not have any quick notes set up. Please use settings to set that up.” (Set quick notes up in Setup.)
  • Notes — a free-text summary of the visit and any handoff details for the front desk. Quick-note text lands here.
  • Add to the provider’s follow-up-call list — a checkbox labeled “Add this patient to a list of follow-up calls to be sent via email to Dr. <FirstName> <LastName>,” with a yellow ? help icon (popover titled What does this mean?). When a Send Email time hasn’t been set, the checkbox is disabled and reads “Send Email time must be configured in Practice Pulse Settings first to enable this.” See Post-op Calls.
  • Recall — a family recall table: Name (links to the Patient Profile in a new tab) / Age / Recall Scheduled (a red Not Scheduled! badge when unbooked) / Recall Due / Last Recall Appointment. Confirm the next cleaning is set while the patient is standing there.
  • Tasks — a widget with an “Add your task here…(use @ to assign the task to someone)” input, an Add Task button, and a list of the patient’s existing tagged tasks below it (each editable, completable, and deletable).
  • Planned Appointments — the patient’s Open Dental planned appointments, in a Procedure(s) / Note / Provider table, so the front desk schedules the right next visit. When there are none, it reads “No Planned Appointments found.”

In the Tasks widget, enter the task and use @ to assign it. A few rules:

  • Only one @mention is allowed — a second one raises an error toast.
  • The task is automatically tagged to the patient.
  • If you assign it to someone else, they get a Teamio notification.
  • The task is due today by default.

Select Save & Checkout to record everything and move the patient into the Check-out column. The notes are saved to the visit, any task you added lands on the assignee’s list, and — if you ticked the box — the patient is added to the provider’s follow-up-call email. Select Cancel Checkout (or the × Close button) to back out without saving.

Note: There is no “email this summary to the patient” option. The only email feature here is the provider follow-up-call list described above.

Checkout is where production walks out the door or gets rebooked. A 20-second route slip — recall confirmed, balance handled, next appointment planned, follow-up task assigned — is the difference between “we’ll call them later” and a patient who leaves already scheduled.
