Importing content

If your practice already has procedures, manuals, or message templates in Word or PDF, you don’t have to retype them — the Import button (Wiki home) brings them in through a step-by-step Wiki Import wizard with a numbered progress bar.

Select Import, then on the What would you like to import? step pick one of two cards:

  • SMS / Email Templates — a single Word (.docx) document, max 10 MB, formatted as message templates. AI parses it into individual template pages.
  • Knowledge Base Articles — .docx and .pdf files imported as knowledge pages. Up to 100 files, max 25 MB each.

The two paths have different steps:

  • Templates: Import Type → Upload → Review Templates → Map Variables → Confirm & Import
  • Knowledge Base: Import Type → Upload Files → Review Documents → Import
  1. Upload — drag your .docx into the drop zone or browse to it. An Expected Format panel shows the layout, with a Download sample .docx link if you want a working example to start from.
  2. Analyzing — AI parsing runs in the background with Analyzing your document… This can take a minute or two. You can leave it running: the Cancel button becomes Continue in Background, and a toast announces Your templates are ready for review! when it finishes.
  3. Review Templates — each detected template appears as a card. Controls here:
    • Select All, plus a per-template include checkbox.
    • an editable title input.
    • clickable SMS / Email type badges — selecting one cycles the type SMS → both → Email.
    • a Show more / Show less body preview.
    • detected variable chips and a short AI note explaining the chosen type.
  4. Map Variables — a table lines up each placeholder found in the document with a Teamio merge field:
    • Document Variable — the placeholder as written in your doc.
    • Used In — which templates reference it.
    • Map To — a dropdown of Suggested matches plus the grouped Teamio merge fields, or Leave as-is / Remove variable.
    • Confidence — a high / medium / low badge on the suggested match.
    • A Hardcoded Values section lets you swap fixed text (a name, a phone number) for a suggested merge field by ticking it.
  5. Confirm & Import — select Import N Template(s) (green). A results list reports how many succeeded and failed. Imported templates are created with their SMS/Email flags already set.
  1. Upload Files — drop in up to 100 .docx/.pdf files (25 MB each). Select Upload & Parse.
  2. Review Documents — each document shows an editable Wiki Page Title plus word and image counts. PDFs can be imported as PDF-attachment pages. Upload progress runs through Packaging → Uploading → Processing X of Y (large batches are auto-zipped and uploaded via S3). If some files fail, you still get the ones that succeeded — failed items are reported separately.
  3. Import — select Import Now, then Done when it finishes.
  • One concept per source document imports cleanest.
  • Start from the sample .docx for templates — it shows exactly the layout the parser expects.
