Checking workflow history

The Automation Activity page is your first stop whenever you wonder “did it send?” It shows recent runs of your workflows.

Where: On the workflow list, select View Activity on a workflow’s card. It opens the Automation Activity page in a new browser tab.

The page has a purple header (Automation Activity, a back arrow, and Refresh) and an Automation Runs panel. Above the table is a filter bar and a Showing X of Y run counter:

  • Search — the Search by patient name, action, or details… box filters the rows.
  • Status — a dropdown with All, Success only, and Failed only — the quickest way to isolate problems.
  • Refresh — reloads the runs.

Each row is one run, with these columns:

  • Status — Success or Failed.
  • Action — an emoji badge: SMS, Email, Task, Form, or Other.
  • Patient — the patient’s name, linking to their profile, with the Open Dental patient number (for example #1234) beneath.
  • Details — a short description of what was sent or created.
  • When — a relative time like 2h ago; hover for the exact timestamp.
  • An eye icon (tooltip View Details) at the right edge opens the Run Details modal.

  • Run ID (for support) — with a Copy button (it confirms Copied to clipboard!)

When you contact support about a run, copy the Run ID — it’s exactly what they’ll ask for.

  • Failures clustering on one action → usually a configuration issue (bad template, missing patient phone/email). Set Status to Failed only to see them all at once.
  • No runs at all → either the trigger isn’t firing, or the run was more than 7 days ago (the page only goes back a week). See Troubleshooting: my workflow didn’t fire.
  • Runs but the patient says nothing arrived → check the patient’s phone/email on the chart.
  • No Automations Have Run Yet — nothing has run in the last 7 days.
  • No Matches — your search or Status filter excludes every run; clear them to see the full list.
