Who can do what in the Wiki
The Wiki is visible to almost everyone on your team, but editing and deleting depend on your role — and an Employee is limited to pages they created. This article spells out the rules.
Who can open the Wiki
Section titled “Who can open the Wiki”| Role | Wiki access |
|---|---|
| Admin | Full |
| Manager | Full (can be limited by Feature Permissions) |
| Employee | View + create; edit/delete own pages only (can be limited) |
| Outsourced | None — no Wiki in the sidebar, and the Wiki page is blocked |
The Outsourced role has no Wiki access at all — there’s no Wiki entry in their sidebar, and the Wiki route is blocked for them.
Create, edit, and delete
Section titled “Create, edit, and delete”- Anyone who can open the Wiki can create pages and import content — there’s no separate “create” permission. (So Outsourced, with no Wiki access, cannot.)
- Admin and Manager can edit and delete any page, no matter who created it.
- An Employee can edit and delete only pages they created. This creator-scoped rule is built into the product and applies to the Edit and Delete actions on a page.
When your role can’t delete a particular page, the Delete Page (trash) icon simply doesn’t appear on that row.
Feature Permissions can tighten this further
Section titled “Feature Permissions can tighten this further”Each site has a Feature Permissions matrix (set per role in My Account) that can downgrade Wiki access for Manager, Employee, and Outsourced to Read or None. A few rules govern it:
- It never affects Admin — Admins always keep full Wiki access.
- It cannot override the creator-scoped Employee rule — even with broader Feature Permissions, an Employee still edits/deletes only their own pages.
So the effective access for a non-admin role is whichever is more restrictive: their base role rights or the site’s Feature Permissions setting for Wiki.
Public pages are a separate concern
Section titled “Public pages are a separate concern”Marking a page public exposes it to anyone with the link, regardless of role. Any non-Outsourced staff member with Wiki access can do this — treat it with care (see Public pages & sharing).
