The website chatbot & AI receptionist

Teamio’s patient-facing AI lives on your practice website as a chat widget (and can answer your phone as a voice receptionist). It answers questions from your practice’s own content and books real appointments using your online-booking setup.

On your website, patients see a chat widget. They ask normal questions — hours, insurance, services, directions — and get answers drawn from your content. When they want an appointment, the bot walks them into booking; when it can’t help, it hands off to your office phone. The voice receptionist does the same on a phone call.

When Teamio sets up the bot, these are the things that can be tuned (so you know what to ask for):

  • Identity — Bot Name, Practice Name, Phone Number, Business Hours, Welcome Message, and a Custom First Message.
  • Behavior — a Custom System Prompt, AI Personality (Professional / Friendly / Casual), Response Style (Concise / Detailed / Conversational), and Emergency Instructions (what to tell a patient in pain — typically “call us now” with your number).
  • Voice (for the receptionist) — Voice Selection with preview, Voice Speed, Voice Stability, and Voice Similarity.
  • Language — chosen from a long list.
  • Knowledge — the Website URLs to Index (with recommended pages) so the bot answers from your real site content; the tool shows Website Content Indexing status with the crawled pages and counts.
  • Booking — which appointment types the bot may offer and which blockouts to avoid, plus a default location.

Even though you don’t configure the bot in-app, you can watch how it’s doing. Navigate directly to /calendar/admin (there’s no sidebar entry):

  • Dashboard (/calendar/admin/dashboard) — TeamIO Admin Dashboard with Text Bot, Voice Bot, and Appointments stats, an overall conversion rate, and a date-range filter.
  • Bot Conversations (/calendar/admin/bot-conversations) — a list of conversations; open any one to read the full transcript of what the bot told a patient.
  • Appointment Stats — booking outcomes the bot produced.
  • After any big website update, ask Teamio to re-index the knowledge base so the bot answers from the current content.
  • Read the bot’s early conversations at /calendar/admin/bot-conversations — gaps in its answers are gaps in your website’s content. Send those gaps to Teamio to fold into the bot’s knowledge.
